We are seeking an Administrative Assistant to provide day-to-day support to a team of investment professionals. This role calls for someone with proven experience and the initiative to stay on top of shifting demands. They should be proactive, detail-oriented, and capable of managing competing priorities with minimal oversight. This role is essential to keeping operations running smoothly. The position will evolve over time to include additional responsibilities and expanded support for the full team, including senior leadership.

 

Key Responsibilities

  • Prepare, proofread, and format confidential correspondence and presentation materials.
  • Manage Outlook calendars and coordinate priorities across multiple schedules.
  • Schedule and organize meetings and conference calls via Zoom or Teams.
  • Arrange domestic and international travel, including hotels, car rentals, and required documentation.
  • Prepare and reconcile monthly expense reports for multiple team members.
  • Support internal and external meeting logistics, including AV setup and catering.
  • Enter and update records in CRM systems and maintain accurate contact databases.
  • Organize and maintain electronic filing systems.
  • Communicate professionally with executives and their assistants.
  • Run local errands as needed throughout the Jackson area.
  • Gain knowledge of firm policies and manage select issues independently.

 

Requirements

  • Associates degree preferred.
  • 5+ years in administrative support position.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft 365, including Outlook and Excel.
  • Clear and professional communication, both written and verbal.
  • Ability to work effectively under pressure and manage tight deadlines.
  • Comfortable interacting with individuals across all levels of the organization.
  • Dependable, adaptable, and able to respond to unexpected changes.
  • Demonstrates integrity, discretion, and sound judgment.

 

Compensation

  • $50,000 to $65,000, based on experience and qualifications
  • Excellent benefits package
