We are seeking an experienced Administrative Manager to lead and coordinate all administrative functions for a nonprofit information services organization. This role is essential to supporting bookkeeping, board management, special events, and philanthropic initiatives. The Administrative Manager will work closely with the Board of Managers, staff, and external stakeholders to ensure efficient operations and adaptability to evolving organizational needs throughout the year.

 

Key Responsibilities

  • Oversee office administration and serve as the primary point of contact for guest reception and phone inquiries.
  • Prepare spaces and materials for meetings, including board meetings and organizational events.
  • Maintain and update the website, social media platforms, and member resources.
  • Manage office supplies and inventory to support daily operations.
  • Assist with the internship program by coordinating orientation, training, scheduling, and assignments.
  • Process mail and perform bookkeeping tasks, including invoicing, reconciliations, and maintaining financial records in QuickBooks Online.
  • Support financial reporting, donor communications, and budget preparation.
  • Collaborate with financial service providers and investment advisors as needed.
  • Prepare and organize materials for board meetings, orientations, and special events.
  • Maintain customer lists, grantee documentation, and consultant records.
  • Conduct research and assist with grants, grantee monitoring, and reporting.

 

Requirements

  • Degree or experience in administration, accounting, or a related field.
  • Proficiency in QuickBooks Online and basic accounting practices.
  • 3+ years of experience with invoicing, reconciliations, and financial reporting.
  • Strong written and verbal communication skills.
  • Ability to manage websites and social media platforms.
  • Skilled in preparing professional correspondence and meeting materials.
  • Positive attitude, eagerness to learn, and a proactive approach to taking ownership of tasks.

Compensation

  • Salary range: $60,000–$70,000
