We are seeking an Executive Assistant & Office Manger to support the day-to-day operations of a family office. This position requires a detail-oriented individual who can handle a diverse range of tasks in a dynamic environment. The ideal candidate will manage both accounting functions and high-level executive assistant duties. Strong organizational skills, multitasking abilities, and proficiency with QuickBooks are essential.

Key Responsibilities:

  • Reconcile bank accounts and ensure accurate financial records.
  • Manage A/R and A/P functions for multiple LLCs using QuickBooks.
  • Prepare and organize financial records and tax documents for CPA review.
  • Maintain and organize files and investment records.
  • Support transactional assistance for investments and related documentation.
  • Provide administrative support for family office functions.
  • Coordinate meeting schedules, logistics, and executive calendaring.
  • Assist with travel arrangements and logistics for executive team members.
  • Perform additional duties as needed to support the family office.

 

Requirements:

  • 5+ years of experience in bookkeeping and executive assistant roles.
  • Proficiency in QuickBooks and Microsoft Office.
  • Strong organizational and communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Experience working with investment documents is a plus.

 

Compensation:

  • $60,000-70,000, depending on experience.
