We are seeking an Executive Assistant & Office Manger to support the day-to-day operations of a family office. This position requires a detail-oriented individual who can handle a diverse range of tasks in a dynamic environment. The ideal candidate will manage both accounting functions and high-level executive assistant duties. Strong organizational skills, multitasking abilities, and proficiency with QuickBooks are essential.
Key Responsibilities:
- Reconcile bank accounts and ensure accurate financial records.
- Manage A/R and A/P functions for multiple LLCs using QuickBooks.
- Prepare and organize financial records and tax documents for CPA review.
- Maintain and organize files and investment records.
- Support transactional assistance for investments and related documentation.
- Provide administrative support for family office functions.
- Coordinate meeting schedules, logistics, and executive calendaring.
- Assist with travel arrangements and logistics for executive team members.
- Perform additional duties as needed to support the family office.
Requirements:
- 5+ years of experience in bookkeeping and executive assistant roles.
- Proficiency in QuickBooks and Microsoft Office.
- Strong organizational and communication skills.
- Ability to handle confidential information with discretion.
- Ability to multitask and prioritize in a fast-paced environment.
- Experience working with investment documents is a plus.
Compensation:
- $60,000-70,000, depending on experience.
